SMS / Text Messaging Privacy Policy

Kind Mind Mental Health (“KMMH,” “we,” “our,” or “us”) is committed to protecting the privacy and confidentiality of our patients and clients. This SMS Privacy Policy explains how we collect, use, disclose, and safeguard your information when you opt into receiving text messages from us through RingCentral or other approved messaging services.

 

What we text about

  • Appointment reminders, confirmations, and scheduling changes

  • Billing, payment, and administrative notifications

  • Limited care coordination and operational messages (forms, office updates)

 

 

Not for emergencies

Text messages are not monitored 24/7. If you have an emergency, call 911 or the Suicide & Crisis Lifeline at 988.

 

Consent and opt-in

You choose whether to receive texts. You may opt in via intake paperwork, an online form, verbal consent (documented in your record), or by responding to a text-based opt-in request. Consent is not required to receive services, and you can opt out at any time.

 

What we collect

When you opt in, we may collect your mobile number, name, message history related to your account, appointment data, and communication preferences.

 

How we use and share information

We use SMS information only for healthcare operations (scheduling, billing, administrative communication, and limited care coordination). We do not sell your information or share your phone number with third parties for their marketing purposes. We may share information with HIPAA-compliant service providers (e.g., RingCentral) solely to deliver messages and support our operations under appropriate contractual safeguards.

 

HIPAA and SMS risks

We use HIPAA-compliant systems and limit Protected Health Information (PHI) in text messages when possible. However, standard SMS is not fully encrypted and may be viewed by anyone with access to your phone. For sensitive clinical discussions, we may direct you to a patient portal, phone call, or visit.

 

Opt-out and help

You can opt out at any time by replying STOP. For assistance, reply HELP or contact us at (918) 913-7575 during Monday–Friday, 8:00 AM–5:00 PM. You may also email KMMH@4kindmind.com.

Please complete the prospective patient link with as much information as possible. This will help us work quickly and efficiently to add you as a patient and verify your information. When you enter your birthday you need to add all the digits including zeros if needed or it will not work properly. If your insurance is not on the list choose the closest one and we will still see if we can verify your insurance and get coverage for your visit after we get a copy of your insurance cards. Please let us know all insurances you are covered under, and if you are covered under another person, we will need their information to verify your insurance.
